Exporting and importing parts of workspaces

Kronodoc supports importing and exporting part or all of a workspace. Unlike working only with subfolders as described in Exporting and importing subfolders, the data can include the folders, documents, and files in addition to some or all of the workspace configuration information. This can be useful to move or copy the data from one workspace to another within the same system or from one system to another.

Note    Exporting workspace data from one system to another requires that the workspace property definitions (folder, document, and custom properties) are configured the same in both workspaces. This can be done by either including all source workspace properties in the export or manually adding the source workspace properties to the ones already defined in the destination workspace. The latter can be done by editing the source workspace metadata file before importing it into the destination workspace. For example, you can export the property definitions from both the source and the destination workspace, compare the two metadata files, and add the missing property definitions to the metadata file that will be imported into the destination workspace.

Note    If you will be exporting workspace data from a Kronodoc workspace that has the Active Directory Connector installed, see Understanding the implications with Active Directory.

To export a part of an existing workspace:

  1. View the property page of the parent folder for which you want to export the subfolders and their contents. The current folder will be the root folder of the exported structure.
  2. On the ribbon, in the Import/Export group, click Exporter. A page appears showing the available workspace export options appears.
  3. Click options or type values using the descriptions in the following table.

The scope of the data to export.

Export mode

To transfer only the workspace configuration to the destination system, select Structure/attributes only. To transfer only the files, select Files only. To transfer the workspace structure and files, select Both.

Format

Select the format for the metadata file.

Included data

For each data section, select the data that you want to export to the metadata file. In the Attributes section, to select multiple options, press and hold the Ctrl key while clicking options. To select a range of options, select the first option in the range and then press and hold the Shift key while selecting the last option in the range.

Note    The Files option includes information about the files in the metadata file. The physical files are exported separately in an archive file. It is necessary to include the file properties in the metadata file if the metadata file and the archive file are later imported back into Kronodoc.

Format

Select the format for the archive file.

  1. Click Export. Your browser's File Download dialog box appears.

Note    Your web browser will attempt to download the files to your computer. If your browser's security settings block the download, you might need to adjust the settings and retry this procedure.

  1. Click Open to open the file immediately without saving it first or click Save to save the file for later viewing. The workspace archive file downloads to your computer.

To import part of a existing workspace:

Before you begin

The import source files must consist of a document metadata file (document properties) and an archive file (file attachments). The document metadata file must be in the correct format so that Kronodoc can distinguish it from a document metadata (KRONOCSV) file as described in Understanding KRONOCSV files. Create the import source files as described in the preceding procedure. The metadata file may be contained in the archive file.

  1. View the property page of the parent folder into which you want to import the subfolders and their contents. The current folder will be the root folder of the imported folder structure.
  2. On the ribbon, in the Import/Export group, click Importer. A page appears showing the available workspace import options.
  3. Click options or type values using the descriptions in the following table. Expand Options to view the advanced import options.
Option Description

Structure file

Type the path to the metadata file on your computer that you want to import or click Browse and select the file. If the metadata file is included in the archive file, leave this option empty. The metadata file must be one that was originally exported from Kronodoc by the Exporter command or contain only document metadata as described in Importing only documents and files.

Archive file

Type the path to the archive file on your computer that you want to import or click Browse and select the file. The archive file must contain the files to be imported. It may also contain a workspace metadata file, for example, as generated by the Exporter command or it may contain a document metadata file as described in Importing only documents and files.

Create new structure

Creates new subfolders in the current folder from the source workspace metadata.

Default document type

Select a document type to apply to all of the new documents.

Default relevance

Select a relevance to apply to all of the new documents.

  1. To import all of the data contained in the file specified for Structure file, click Import. The property page reappears and the navigation frame refreshes to show the new folders that were created, if any.

    OR

    To select specific data types contained in the file specified for Structure file, click Import selection. A page listing the data import options appears.

  1. For each data section, select the data that you want to import from the metadata file. In the Workspace attributes section, to select multiple properties, press and hold the Ctrl key while clicking properties. To select a range of properties, select the first property in the range and then press and hold the Shift key while selecting the last property in the range.
  2. Click Import. The property page reappears and the navigation frame refreshes to show the new folders that were created.
